Sunshine ABA Therapy · Sunshine Intake

Terms of Service

These terms govern use of Sunshine Intake, an internal application of Sunshine ABA (“the Practice”).

Effective date: 2026-08-27

1. Who may use this application

Access is limited to employees and contractors of the Practice who have been issued an account by an administrator, and only for the Practice's own business purposes. There is no public sign-up. This is not a patient portal, and patients and guardians have no accounts here.

By signing in you agree to these terms. If you do not agree, do not sign in.

2. Your account

  • Accounts are issued to a named individual. Do not share your credentials, and do not let another person act under your account.
  • Keep your password and any second factor confidential.
  • Report immediately to the Practice any suspected security incident, whether or not you are sure of it: credentials you think may have been compromised, protected health information you think may have been exposed, sent to the wrong recipient or accessed by someone who should not have seen it, a lost or stolen device or document, a phishing or suspicious message, malware, or any activity in this application that looks wrong. Report the suspicion — confirming it is the Practice's job, not yours, and delay is what turns an incident into a breach.
  • Every action is attributed to the account that performed it, so an action taken under your account will be treated as yours.
  • Administrators may suspend or remove an account at any time, including on the ending of employment or engagement.

3. Acceptable use

You agree to:

  • access only the records you need for your work — the HIPAA minimum necessary standard, not merely what the software will let you open;
  • keep protected health information confidential, and disclose it only as the Practice's policies and applicable law permit;
  • export, print or download records only where your role requires it, and handle anything you export with the same care as the system itself;
  • follow the Practice's own privacy, security and records policies, which sit alongside these terms.

You agree not to:

  • attempt to bypass, disable or test authentication, permissions, network restrictions or audit logging without written authorization from the Practice;
  • access records out of curiosity or for any personal reason, including records of people you know;
  • copy data to personal devices, personal accounts or unapproved third-party services, including consumer AI tools;
  • share, publish or transmit patient information outside approved channels;
  • use the application after your authorization has ended.

4. Monitoring

Use of this application is logged and may be reviewed. Recorded activity includes sign-in attempts, opening a patient chart, viewing lists of patients, every create, update and archive, and every document download, together with the account, time, IP address and user agent. You should have no expectation of privacy in your use of this application, other than as described in the Privacy Policy.

5. Confidentiality after access ends

Your obligation to keep patient information confidential continues after your account is removed and after your employment or engagement ends.

6. Google sign-in and third-party services

Where the Practice enables Google sign-in, your use of your Google account remains subject to Google's own terms. Information received from Google is handled as described in the Privacy Policy. Revoking this application's access to your Google account will prevent you signing in.

7. Availability and no warranty

This is an internal operational tool. It is provided as-is, without warranties of any kind, express or implied, including fitness for a particular purpose. The Practice does not guarantee uninterrupted availability and may take the application offline for maintenance, upgrades or security reasons. Nothing here is medical advice, and the application does not make clinical decisions.

8. Limitation of liability

To the fullest extent permitted by law, the Practice is not liable for indirect, incidental, special, consequential or punitive damages, or for lost profits or lost data, arising from use of this application. Nothing in these terms limits any liability that cannot be limited by law, or affects the Practice's own obligations under HIPAA.

9. Changes to these terms

These terms may be updated. Material changes will appear on this page with a new effective date, and continued use after that date means you accept them.

10. Governing law

These terms are governed by the laws of Indiana and the applicable federal law of the United States, without regard to conflict-of-laws rules.
